Privacy policy

What information we collect, why we collect it, and how you can control it.

Last updated 20 September 2026

1. Information we collect

We collect information you give us directly, including:

  • Account details — your name and email address when you register.
  • Event activity — registrations, tickets, and check-in status for events you attend or run.
  • Recruitment applications — the answers, files, and contact details you submit when applying to a student organisation, or the questions and responses you manage if you run one.
  • Partner listings — business details, contact information, and images submitted by partner accounts.
  • Messages — content of emails you send through UniLoop, such as applicant messages.

We also collect limited technical information automatically, such as pages visited and browser session data, needed to keep you signed in and the site working.

2. How we use your information

We use your information to:

  • Operate the service — create your account, process registrations, and issue tickets.
  • Communicate with you — confirmations, reminders, and updates about events or applications you're involved in.
  • Process payments for paid tickets, through our payment processor, Stripe.
  • Keep UniLoop secure and prevent fraud or abuse.
  • Improve the product based on how it's used.

3. Who we share it with

We share information only where necessary:

  • With the organisation or partner you're interacting with — e.g. an organiser sees the attendees registered for their event, and the answers to their own recruitment application.
  • With service providers who help us run UniLoop, such as our database, hosting, email delivery, and payment processing (Stripe) providers, under their own confidentiality and security obligations.
  • Where required by law, or to protect the rights and safety of UniLoop and its users.

We never sell your personal information to third parties.

4. Cookies and local storage

We use your browser's local storage to keep you signed in and remember basic preferences. See our Cookie policy for details.

5. Data retention

We keep your information for as long as your account is active, or as needed to provide the service (for example, keeping ticket and attendance records for an organiser's reporting). Deleted events are kept for 30 days before being permanently removed, so they can be restored if deleted by mistake.

6. Your rights

You can review and update your account information at any time from Account settings. You can close your account and request deletion of your personal data from there as well. Some information may be retained where we have a legal or legitimate business reason to do so, such as financial records of past transactions.

7. Children's privacy

UniLoop is intended for university students and the organisations, partners, and staff who work with them, and is not directed at children under 16.

8. Changes to this policy

We may update this policy from time to time. We'll update the "last updated" date above when we do.
